REGULAMIN KONFERENCJI English for Healthcare: from expertise to practice
organizowanej w dniach 11-12 września 2026 roku („Regulamin”)
§ 1 Termin i czas trwania
1. Niniejszy Regulamin określa prawa i obowiązki Uczestników Konferencji English for Healthcare: from expertise to practice (zwanej dalej „Konferencją”), która odbędzie się w dniach 11-12.09.2026 r., stacjonarnie w Krakowie na ul. Gołębiej 24 na terenie siedziby Collegium Novum UJ.
2. Organizatorem Konferencji jest Uniwersytet Jagielloński, ul. Gołębia 24, 31-007 Kraków, Centrum Językowe UJ CM ul. Radziwiłłowska 4, 31-026 Kraków (zwany dalej „Organizatorem”).
3. Opiekę naukową nad przebiegiem Konferencji sprawuje Komitet Naukowy Konferencji powołany przez Organizatora (zwany dalej „Komitetem Naukowym”).
4. Uczestnikiem Konferencji jest każda pełnoletnia osoba fizyczna posiadająca pełną zdolność do czynności prawnych, która najpóźniej do dnia 31.08.2026r. w sposób, o którym mowa w § 2 ust. 1 Regulaminu:
a) zgłosiła chęć udziału w Konferencji,
b) lub przyjęła zaproszenie Organizatora do udziału w Konferencji w charakterze gościa (w szczególności Keynote speakerzy, przedstawiciele Organizatora, przedstawiciele sponsorów i partnerów Konferencji);
oraz zaakceptowała zasady uczestnictwa w Konferencji, o których mowa w Regulaminie i otrzymała od Organizatora informację o zakwalifikowaniu jej do udziału w Konferencji (zwana dalej „Uczestnikiem”).
5. Regulamin jest udostępniany Uczestnikom na stronie internetowej Konferencji https://cj.cm.uj.edu.pl/pl/konferencje/ (zwanej dalej „Stroną Konferencji”), w wersji polskojęzycznej i anglojęzycznej, w sposób umożliwiający jego pobranie.
6. Organizator zastrzega sobie prawo zmiany Regulaminu z powodu zmiany powszechnie obowiązujących przepisów prawa i konieczności dostosowania Regulaminu do tej zmiany. Zmiana Regulaminu wejdzie w życie w ciągu 7 dni od chwili jego publikacji na Stronie Konferencji. W odniesieniu do Uczestników, którzy zaakceptowali Regulamin przed dokonaniem zmiany, zmiana wejdzie w życie w ciągu 7 dni od poinformowania ich o zmianie Regulaminu za pomocą poczty elektronicznej i braku wyrażenia sprzeciwu wobec tej zmiany w ww. terminie.
7. Organizator zastrzega sobie prawo zmiany Regulaminu także w przypadku zmiany Regulaminu, która nie wpływa negatywnie na prawa Uczestników bądź zmiany polegającej na sprostowaniu oczywistych omyłek pisarskich i błędów redakcyjnych. W takim przypadku zmiana Regulaminu może wejść w życie w terminie krótszym niż 7 dni, ale nie krótszym niż 3 dni od poinformowania Uczestników o zmianie Regulaminu za pomocą poczty elektronicznej i braku wyrażenia sprzeciwu wobec tej zmiany w ww. terminie.
8. Organizator zastrzega sobie prawo zmiany terminu oraz formuły Konferencji w sytuacji gdy jej przeprowadzenie w terminie oraz formie, o których mowa w ust. 1 powyżej będzie niemożliwe albo nadmiernie utrudnione z przyczyn niezależnych od Organizatora. Zmiana terminu lub/oraz formuły Konferencji zostanie niezwłocznie ogłoszona na Stronie Konferencji.
9. Organizator zastrzega sobie możliwość wprowadzenia zmian w programie Konferencji, w tym prawo do zmian rozkładu czasowego i kolejności wystąpień. W razie wprowadzenia zmian, Organizator poinformuje o tym niezwłocznie na Stronie Konferencji. Zmiana programu Konferencji nie stanowi zmiany Regulaminu.
§ 2 Rejestracja udziału w Konferencji
1. Udział w Konferencji jest odpłatny i wymaga wcześniejszej rejestracji poprzez formularz rejestracyjny (zwany dalej „Formularzem”) dostępny na Stronie Konferencji - https://cj.cm.uj.edu.pl/pl/konferencje/, w którym osoba chcąca uczestniczyć w Konferencji będzie zobowiązana wskazać następujące dane: imię i nazwisko, adres mailowy oraz afiliacja (jeśli dotyczy).
2. Szczegółowy sposób rejestracji uczestnictwa w Konferencji, terminy rejestracji i wysokość Opłaty rejestracyjnej (zwanej dalej „Opłatą”) oraz sposób jej uiszczenia zostały podane na Stronie Konferencji.
3. W razie rezygnacji z udziału w Konferencji, Uczestnik zobowiązany jest do niezwłocznego poinformowania o tym Organizatora poprzez przesłanie stosownej informacji na adres e- mail: englishforhealthcare2026@cm-uj.krakow.pl. Uczestnikowi, który do dnia 31.07.2026 r. zrezygnuje z udziału w Konferencji, w sposób, o którym mowa w niniejszym ustępie, Organizator zwróci Opłatę (zwrotowi nie podlegają opłaty bankowe). Rezygnacja z udziału w Konferencji dokonana po 31.07.2026 r. będzie skutkowała brakiem zwrotu uiszczonej przez Uczestnika Opłaty. Zwroty Opłat dokonywane będą przez Organizatora po zakończeniu Konferencji.
4. Za pośrednictwem Formularza Uczestnik może zadeklarować chęć wzięcia udziału w imprezach towarzyszących Konferencji tj. w bankiecie (zwanym dalej „Bankietem”) – za dodatkową Opłatą. Szczegółowe informacje na temat Opłaty, godziny i miejsca Bankietu zostaną podane na Stronie Konferencji.
5. Organizator nie odpowiada za podanie przez Uczestnika błędnych lub nieprawdziwych danych podczas rejestracji uczestnictwa w Konferencji.
6. W Konferencji może wziąć udział maksymalnie 120 Uczestników, w Bankiecie może wziąć udział maksymalnie 50 Uczestników (zwanych dalej „Uczestnikami Bankietu). O przyjęciu zgłoszenia uczestnictwa w Konferencji i/lub w Bankiecie decyduje kolejność zgłoszeń. Uczestnik otrzyma od Organizatora wiadomość e-mail z informacją o zakwalifikowaniu lub niezakwalifikowaniu go do uczestnictwa w Konferencji i/lub w Bankiecie.
7. Osoba, która dokonała rejestracji uczestnictwa w Konferencji potwierdza zapoznanie się z Regulaminem i akceptację postanowień Regulaminu, która jest równoznaczna z udzieleniem przez nią zezwoleń, licencji i upoważnień, o których mowa w Regulaminie, a także stanowi zobowiązanie do uiszczenia Opłaty. Rejestracja uczestnictwa w Konferencji zostaje dokonana w momencie uzupełnienia danych Uczestnika w treści Formularza oraz przesłania go wraz ze zgodami, o których mowa w § 5-7 Regulaminu, za pomocą systemu rejestracyjnego znajdującego się na stronie https://cj.cm.uj.edu.pl/pl/konferencje/.
8. Osoba, która dokonała rejestracji uczestnictwa w Konferencji nabywa miejsce udziału w Konferencji i/lub w Bankiecie, z chwilą otrzymania potwierdzenia rejestracji, po uiszczeniu Opłaty.
§ 3 Ogólne zasady udziału w Konferencji
1. W trakcie Konferencji odbędą się sesje wykładowe w ramach których wygłoszone zostaną wykłady (zwane dalej „Wykładami”) oraz panele warsztatowe, w trakcie których Uczestnicy będą mieli możliwość wymiany zdań, dyskusji i przetestowania rozwiązań metodycznych (zwane dalej „Warsztatami”). Konferencja zostanie przeprowadzona w języku angielskim. Szczegółowe informacje i dokładny program Konferencji dostępny jest na Stronie Konferencji.
2. Uczestnik po zakończeniu Wykładu może zgłosić wolę zadawania pytań. Organizator, biorąc pod uwagę planowany czas trwania Wykładów, jak również harmonogram Konferencji zdecyduje o liczbie zadawanych pytań i o ich treści.
3. Przebieg Konferencji zostanie utrwalony postaci fotorelacji (dalej jako: „Fotorelacja”), która będzie dostępna na Stronie Konferencji https://cj.cm.uj.edu.pl/pl/konferencje/ , może być także udostępniana na Stronach Organizatora i serwisach społecznościowych Organizatora (Facebook oraz Instagram) dla nieograniczonego kręgu odbiorców, bezterminowo.
4. Organizator Konferencji udostępniając Uczestnikom materiały konferencyjne (zwane dalej „Materiałami konferencyjnymi”) zwraca szczególną uwagę na konieczność respektowania przez Uczestników praw własności intelektualnej. Uczestnicy zobowiązują się do wykorzystywania Materiałów konferencyjnych udostępnionych im przez Organizatora wyłącznie w zakresie własnego użytku osobistego. Modyfikowanie, kopiowanie, przesyłanie, publiczne odtwarzanie oraz wszelkie wykorzystywanie tych Materiałów konferencyjnych do celów komercyjnych wymaga wyrażenia uprzedniej, pisemnej zgody przez Organizatora lub przez inny uprawniony podmiot. Uczestnicy ponoszą całkowitą odpowiedzialność za wszelkie szkody powstałe w wyniku ich zachowania sprzecznego z powyższym zastrzeżeniem.
5. Uczestnicy akceptują ustalone reguły przebiegu Konferencji i jej program oraz zobowiązują się nie wpływać na jego zmianę i nie zakłócać przebiegu Konferencji. Organizator jest uprawniony do wyłączenia z udziału w Konferencji Uczestników, którzy naruszają postanowienia Regulaminu, a w szczególności:
a) zakłócają przebieg Konferencji;
b) podejmują działania niezgodne z prawem, z dobrymi obyczajami bądź godzące w uzasadnione interesy osób trzecich;
c) podejmują działania zmierzające do obejścia albo wskazujące na próbę obejścia
Regulaminu lub zasad odbywania Konferencji;
d) podejmują działania naruszające uzasadnione interesy Organizatora lub godzące w jego wizerunek.
§ 4 Prawa i obowiązki Uczestników, Uczestników Bankietu
1. Uczestnik po przybyciu na miejsce Konferencji zobowiązany jest do potwierdzenia na stanowisku recepcyjnym w Collegium Novum w Krakowie, ul. Gołębia 24 31-007 Kraków, swojego osobistego uczestnictwa w Konferencji.
2. Uczestnicy, Uczestnicy Bankietu i Uczestnicy Zwiedzania są zobowiązani przestrzegać zasad bezpieczeństwa, przepisów BHP i przeciwpożarowych obowiązujących na terenie obiektów, w których organizowana jest Konferencja i/lub Bankiet/ Zwiedzanie oraz obowiązujących w tym czasie zasad reżimu sanitarnego.
3. Organizator nie ponosi odpowiedzialności za rzeczy pozostawione i zgubione podczas Konferencji i/lub Bankietu/ Zwiedzania oraz za rzeczy pozostawione w odzieży lub plecakach/torebkach/walizkach, a także w innych miejscach ogólnodostępnych na terenie Konferencji, Uniwersytetu Jagiellońskiego oraz restauracji, w której odbędzie się Bankiet oraz w miejscu Zwiedzania.
4. Personel Organizatora w przypadku zakłócania przez Uczestnika ładu i porządku publicznego oraz nieprzestrzegania obowiązujących w dniu Konferencji zasad reżimu sanitarnego jest uprawniony do:
a) wezwania Uczestnika do stosownego zachowania;
b) żądania opuszczenia przez Uczestnika terenu Konferencji/ Bankietu/ Zwiedzania,
c) wezwania właściwych służb w sytuacji, gdy zachowanie Uczestnika kwalifikuje się do takiej interwencji, w tym w szczególności gdy stanowi zagrożenie dla pozostałych Uczestników lub personelu Organizatora lub mienia Organizatora.
5. Organizator nie ponosi odpowiedzialności za zdarzenia wynikające z nieprzestrzegania przez Uczestników Regulaminu, nie stosowania się przez Uczestników do zaleceń Organizatora oraz poleceń personelu Organizatora i służb odpowiedzialnych za bezpieczeństwo i porządek.
6. W celu zapewnienia bezpieczeństwa na terenie Konferencji, Organizator może korzystać z monitoringu obejmującego cały teren Konferencji, jak i jego poszczególne fragmenty. Zasady stosowania monitoringu przez Organizatora określa zarządzenie nr 34 Rektora Uniwersytetu Jagiellońskiego z 16 maja 2019 roku w sprawie: Regulaminu monitoringu wizyjnego na Uniwersytecie Jagiellońskim z późn. zm., dostępne w Biuletynie Informacji Publicznej Uniwersytetu Jagiellońskiego.
7. W przypadku zauważenia zagrożenia dla życia i zdrowia Uczestników, Uczestnik zobowiązany jest niezwłocznie poinformować o tym personel Konferencji.
§ 5 Wykłady, Warsztaty
1. Osoba dokonująca rejestracji uczestnictwa w Konferencji za pośrednictwem Formularza, może zgłosić Organizatorowi chęć wygłoszenia Wykładu lub przeprowadzenia Warsztatu. Zgłoszenia przyjmowane są w terminie do dnia 28.02.2026 r., do godziny 23:59.
2. Osoba, która zgłosiła wolę wygłoszenia Wykładu, najpóźniej do dnia 28.02.2026 r., do godziny 23:59, zamieści w systemie rejestracyjnym Coffee, w formie cyfrowego pliku tekstowego - autorski abstrakt Wykładu, który zamierza wygłosić w czasie Konferencji (zwany dalej „Abstraktem”). Najpóźniej do dnia 30.04.2026 r., Komitet Naukowy na podstawie przesłanych Abstraktów dokona wyboru prelegentów (zwanych dalej „Prelegentami”), a o pozytywnym wyniku tej kwalifikacji niezwłocznie poinformuje Uczestników, których Abstrakty zostały zakwalifikowane, poprzez przesłanie im zwrotnej wiadomości e-mail najpóźniej do dnia 30.04.2026 r. Dalszy kontakt mający na celu ustalenie szczegółów Wykładu Prelegenta, będzie się odbywał w sposób uzgodniony przez Prelegenta z Organizatorem.
3. Osoba, która zgłosiła wolę przeprowadzenia Warsztatu, najpóźniej do dnia 28.02.2026 r., do godziny 23:59, zamieści w systemie rejestracyjnym Coffee, krótki opis tematyki Warsztatów, które zamierza przeprowadzić w czasie Konferencji (zwany dalej „Opisem”). Najpóźniej do dnia 30.04.2026 r., Komitet Naukowy na podstawie przesłanych Opisów dokona wyboru prowadzących Warsztaty (zwanych dalej „Prowadzącymi”), a o pozytywnym wyniku tej kwalifikacji niezwłocznie poinformuje Uczestników, których Opisy zostały zakwalifikowane, poprzez przesłanie im zwrotnej wiadomości e- mail najpóźniej do dnia 30.04.2026 r. Dalszy kontakt mający na celu ustalenie szczegółów Warsztatu, będzie się odbywał w sposób uzgodniony przez Prowadzącego z Organizatorem.
4. Podejmując decyzje, o których mowa w ust. 2 i 3 powyżej, Komitet Naukowy kieruje się w własnym uznaniem oraz koniecznością zapewnienia wysokiego poziomu naukowego i różnorodności tematycznej Konferencji. Decyzja Komitetu Naukowego jest ostateczna i nie wymaga uzasadnienia, Uczestnikom nie przysługuje od niej odwołanie.
5. Osoba, która przyjęła zaproszenie Organizatora do udziału w Konferencji w charakterze Keynote Speakera (zwanego dalej także „Prelegentem”), najpóźniej do dnia 28.02.2026 r., do godziny 23:59, zamieści w systemie rejestracyjnym Coffee, w formie cyfrowego pliku tekstowego- autorski abstrakt Wykładu, który zamierza wygłosić w czasie Konferencji (zwany dalej „Abstraktem”). Dalszy kontakt mający na celu ustalenie szczegółów Wykładu Prelegenta, będzie się odbywał w sposób uzgodniony przez Prelegenta z Organizatorem.
6. Podjęcie przez Uczestnika działań, o których mowa w ust. 1 – 5 powyżej, jest wyrazem udzielenia Organizatorowi niewyłącznej, nieograniczonej czasowo, terytorialnie, ilościowo i jakościowo licencji na korzystanie z Abstraktu/Opisu, o zakresie i na polach eksploatacji analogicznych do tych, o których mowa w § 6 ust. 5-7 Regulaminu, z prawem udzielania sublicencji na rzecz podmiotów trzecich o zakresie analogicznym do zakresu licencji oraz z uprawnieniem do wykonywania i zezwalania na wykonywanie praw zależnych do Abstraktu, na cele podjęcia decyzji o zakwalifikowaniu Uczestnika jako Prelegenta/ Prowadzącego, przygotowania, organizacji, przeprowadzenia i rozliczenia Konferencji, opracowania Materiałów konferencyjnych, w tym książki abstraktów, która ukaże się drukiem. Do Abstraktu/ Opisu stosuje się odpowiednio postanowienia § 6 ust. 1-3 i 8 Regulaminu.
7. Wygłoszenie Wykładu/przeprowadzenie Warsztatu, jak i udzielenie Organizatorowi zezwoleń, upoważnień i licencji, o których mowa w § 5- 7 Regulaminu, na korzystanie z Abstraktu/Opisu, Wykładu i wizerunku Prelegenta/Prowadzącego, w zakresie i na wszystkich wskazanych tam polach eksploatacji jest nieodpłatne i następuje na cele statutowe Organizatora, z zastrzeżeniem odrębnych umów zawartych z Prelegentem.
8. Udzielenie Organizatorowi zezwoleń, licencji, upoważnień, o których mowa w § 5 - 7 Regulaminu jest dobrowolne, ale konieczne do zaprezentowania Wykładu/ przeprowadzenia Warsztatu.
§ 6 Prawa autorskie
1. Prelegent ponosi pełną odpowiedzialność za formę i treść Wykładu. Ilekroć w niniejszym Regulaminie jest mowa o Wykładzie należy przez to rozumieć treść ustnej prezentacji Prelegenta wygłoszonej w miejscu i w czasie Konferencji oraz towarzyszący jej fakultatywnie pokaz slajdów lub prezentację multimedialną.
2. Prelegent zobowiązuje się do opracowania i prezentacji autorskiego Wykładu i gwarantuje, że Wykład nie będzie naruszał praw i dóbr osobistych osób trzecich, zawierał tez i poglądów nawołujących do nienawiści lub dyskryminacji jakichkolwiek osób na tle rasowym, kulturowym, etnicznym, wyznaniowym, światopoglądowym lub ze względu na płeć. Ponadto niedopuszczalne jest propagowanie w treści Wykładu ideologii i symboliki związanej z ustrojami totalitarnymi, a także prezentowanie innej tematyki zakazanej przez powszechnie obowiązujące przepisy czy naruszanie dobrego imienia Organizatora.
3. Jeżeli jakąkolwiek część Wykładu stanowić będą elementy prawnie chronione, do których prawa nie będą przysługiwały Prelegentowi, Prelegent gwarantuje, że jest uprawniony do ich wykorzystania w zakresie niezbędnym do wygłoszenia Wykładu i udzielenia Organizatorowi Licencji z prawem udzielania sublicencji, o której mowa w niniejszym paragrafie, bez konieczności pozyskiwania przez Organizatora dodatkowych zgód i zezwoleń.
4. Prelegent wyraża zgodę na utrwalenie Wykładu przez Organizatora lub podmiot działający na jego rzecz, w postaci Fotorelacji.
5. Prelegent udziela Organizatorowi niewyłącznej, nieograniczonej czasowo i terytorialnie, ilościowo i jakościowo licencji z prawem udzielania sublicencji o analogicznym jak licencja zakresie, na korzystanie z Wykładu - w tym utrwalanego w formie Fotorelacji, w całości lub w części, samodzielnie, jak i w ramach utworu zbiorowego, w zestawieniu z utworami i elementami dowolnie wybranymi przez Organizatora (m. in. z wykładami innych Prelegentów, obrazem w tym w ramach tzw. Materiałów konferencyjnych), jak również z jego opracowań, adaptacji i wszelkich materiałów, grafik, fragmentów, ujęć - w celach informacyjnych, dokumentacyjnych, edukacyjnych, dydaktycznych, archiwizacji, reklamy i promocji Organizatora i samej Konferencji, w tym w szczególności jego wykorzystywanie, udostępnianie w Internecie, Intranecie, a także w ramach dowolnych usług telekomunikacyjnych z zastosowaniem jakichkolwiek systemów i urządzeń, w szczególności na Stronie Konferencji, na Stronach Organizatora oraz w serwisach społecznościowych Organizatora (Facebook oraz Instagram).
6. Licencja, o której mowa w ust. 5 powyżej (zwana dalej „Licencją”), zostaje udzielona Organizatorowi z chwilą przystąpienia przez Prelegenta do wygłoszenia Wykładu w czasie i w miejscu Konferencji obejmuje korzystanie z Wykładu na następujących polach eksploatacji:
a) utrwalania i zwielokrotniania Wykładu - wytwarzania egzemplarzy Wykładu przy użyciu wszelkich dostępnych technik, w tym techniką drukarską, reprograficzną, zapisu magnetycznego oraz techniką cyfrową (m.in. DVD, nośniki magnetooptyczne);
b) trwałego lub czasowego zwielokrotnienia Wykładu w całości lub w części jakimikolwiek środkami i w jakiejkolwiek formie;
c) w zakresie rozpowszechniania Wykładu – publiczne wykonanie, wystawianie, wyświetlanie, odtwarzanie oraz nadawanie i reemitowanie, a także publiczne udostępnianie Wykładu w taki sposób, aby każdy mógł mieć do niego dostęp w miejscu i w czasie przez siebie wybranym, przy użyciu wszelkich dostępnych technik, w tym wykorzystywanie w sieci Internet, Intranet i w innych sieciach komputerowych, zamieszczenie i modyfikacja Wykładu na stronach internetowych, w serwisach społecznościowych, nadawanie Wykładu przy pomocy sieci multimedialnej i teleinformatycznej, modyfikacje Wykładu umożliwiające stworzenie nawigacji po stronach internetowych, publiczne udostępnianie na ogólnodostępnych wystawach lub ekspozycjach;
d) w zakresie obrotu oryginałem albo egzemplarzami, na których Wykład utrwalono - wprowadzanie do obrotu, użyczenie lub najem oryginału albo egzemplarzy;
e) tworzenie i rozpowszechnianie utworów zależnych Wykładu, w tym dalszych projektów/materiałów opartych na Wykładzie lub ich poszczególnych elementach, w tym opracowanie odmiennych wersji graficznych, kolorystycznych lub formatów wizualnych lub przestrzennych Wykładu i korzystanie z tak powstałych utworów zależnych w zakresie i na wszystkich polach eksploatacji określonych w niniejszym paragrafie;
f) reemitowanie, rozpowszechnianie w prasie, w sieci internetowej, na plakatach wielkoformatowych oraz we wszelkich innych formach promocji lub reklamy;
g) modyfikowanie Wykładu w całości lub części oraz dokonywanie jego opracowań w całości lub części, w tym m.in. prawo do korekty, dokonywania przeróbek i zmian całości Wykładu lub jego pojedynczych elementów;
h) prawo do swobodnego używania i korzystania z Wykładu oraz jego pojedynczych elementów, w tym wykorzystanie Wykładu oraz jego pojedynczych elementów dla celów reklamy, promocji, biurowych, celów oznaczania towarów, produktów, usług, w tym ich wykorzystanie jako zarejestrowane lub niezarejestrowane znaki towarowe, loga lub ich elementy, wykorzystanie jako nazwa/firma przedsiębiorstwa, przedsiębiorcy lub prowadzonej działalności gospodarczej, wykorzystanie Wykładu oraz jego pojedynczych elementów w zakresie reklamy i promocji Organizatora lub prowadzonej przez Uniwersytet działalności na terenie kraju oraz za granicą.
7. Licencja obejmuje także prawo wykonywania przez Organizatora i osoby działające na jego rzecz praw zależnych do Wykładu, na wszystkich polach eksploatacji, o których mowa w ust. 56 powyżej, w tym w szczególności prawo do wprowadzania zmian w Wykładzie i wykonywania jego opracowań, korzystania i rozporządzania utworami zależnymi oraz prawo do zezwalania osobom trzecim na wykonywanie autorskich praw zależnych do Wykładu o zakresie analogicznym do tego z którego korzysta Organizator.
8. Prelegent upoważnia Organizatora i podmioty trzecie, którym Organizator udzieli dalszych upoważnień, do wykonywania w imieniu Prelegenta autorskich praw osobistych do Wykładu i zobowiązuje się do niewykonywania względem Organizatora i upoważnionych przez niego podmiotów przysługujących mu autorskich praw osobistych do Wykładu, a w szczególności prawa do nienaruszalności treści i formy Wykładu oraz jego rzetelnego wykorzystania, decydowania o pierwszym udostępnieniu Wykładu publiczności, nadzoru nad sposobem korzystania z Wykładu oraz decydowania o sposobie oznaczenia autora Wykładu, z tym zastrzeżeniem, że Organizator na życzenie Prelegenta i w miarę możliwości zobowiązany jest uszanować życzenie Prelegenta co do oznaczenia go jako osoby prezentującej Wykład.
9. W razie zgłoszenia przez osoby trzecie w stosunku do Organizatora i/lub podmiotów działających na jego rzecz i/lub do podmiotów upoważnionych przez niego do korzystania z Wykładu i/ lub Abstraktu/ Opisu (zwanych dalej łącznie „Podmiotami uprawnionymi”), roszczeń mających związek z Wykładem i/ lub Abstraktem/ Opisem lub ich poszczególnymi elementami, Prelegent:
a) zwolni Organizatora i/ lub Podmioty uprawnione z przedmiotowych roszczeń, w zakresie w jakim zobowiązany był do nabycia od osób trzecich praw do elementów prawnie chronionych Wykładu i/lub Abstraktu/ Opisu, w tym autorskich praw majątkowych i pokrewnych, uprawnienia do wykonywania i zezwalania na wykonywanie autorskich praw zależnych do nich i poszczególnych ich elementów oraz do uzyskania od nich zezwoleń i upoważnień, o których mowa w niniejszym paragrafie oraz
b) będzie ponosić pełną odpowiedzialność za wszelkie szkody poniesione przez Organizatora i/lub Podmioty uprawnione z tytułu wystąpienia wobec nich z roszczeniami, o których mowa powyżej, w tym przede wszystkim, choć nie wyłącznie, za szkody związane z roszczeniem o odszkodowanie za bezprawne wykorzystanie Wykładu i/lub Abstraktu/ Opisu lub bezprawne wykorzystanie ich poszczególnych elementów.
§ 7 Wizerunek
1. Organizator będzie utrwalał przebieg Konferencji za pomocą urządzeń rejestrujących obraz w formie Fotorelacji - dla celów edukacyjnych, dydaktycznych, informacyjnych, dokumentacyjnych, archiwizacyjnych, reklamy oraz promocji Organizatora i samej Konferencji.
2. Uczestnik deklarując w Formularzu chęć udziału w Konferencji, wyraża nieograniczoną czasowo, terytorialnie, ilościowo i jakościowo, zgodę na wykorzystanie jego wizerunku, w celach wskazanych w ust. 1 powyżej, bez prawa do wynagrodzenia z powyższego tytułu, w szczególności poprzez utrwalenie wizerunku Uczestnika w Fotorelacji oraz wykorzystanie tego utrwalenia, obróbkę, powielanie i wielokrotne rozpowszechnianie wizerunku Uczestnika utrwalonego w wyżej wskazany sposób bez konieczności każdorazowego jego zatwierdzania, w zakresie i w sposób analogiczny do tego, o którym mowa w § 6 ust. 5-7 Regulaminu, w tym w szczególności na Stronie Konferencji, na Stronach Organizatora oraz w serwisach społecznościowych Organizatora (Facebook oraz Instagram).
3. Uczestnik jest świadomy, że Fotorelacja z Konferencji zostanie udostępniona w Internecie i będzie dostępna na Stronie Konferencji https://cj.cm.uj.edu.pl/pl/konferencje/ , może też zostać udostępniona na stronach, o których mowa w ust. 2 powyżej, dla nieograniczonej ilości osób, bezterminowo.
4. W związku z wykorzystaniem wizerunku Uczestnik nie będzie wykonywać prawa kontroli i każdorazowego zatwierdzania wykorzystania wizerunku, w tym prawa zatwierdzania w stosunku do ostatecznej postaci Fotorelacji, w której został on wykorzystany oraz prawa każdorazowego wskazywania go jako osoby uwidocznionej w Fotorelacji, a w szczególności wskazywania jego imienia i nazwiska.
5. Konferencja może być fotografowana w postaci Fotorelacji jedynie przez Organizatora. Zakazane jest nagrywanie i wykonywanie zdjęć przez Uczestników podczas Konferencji bez uprzedniej zgody Organizatora.
6. Organizator ma prawo upoważnić inne podmioty do korzystania z wizerunku na zasadach określonych w niniejszym zezwoleniu.
§ 8 Przetwarzanie danych osobowych
Zgodnie z art. 13 Rozporządzenia Parlamentu Europejskiego i Rady (UE) 2016/679 z dnia 27 kwietnia 2016 r. w sprawie ochrony osób fizycznych w związku z przetwarzaniem danych osobowych i w sprawie swobodnego przepływu takich danych oraz uchylenia dyrektywy 95/46/WE (ogólne rozporządzenie o ochronie danych, dalej „RODO”) Uniwersytet Jagielloński informuje, że:
1. Administratorem danych osobowych Uczestnika jest Uniwersytet Jagielloński, ul. Gołębia 24, 31-007 Kraków, reprezentowany przez Rektora UJ.
2. Uniwersytet Jagielloński wyznaczył Inspektora Ochrony Danych, ul. Czapskich 4/25, 31-110 Kraków. Kontakt z Inspektorem możliwy jest przez e-mail: iod@uj.edu.pl lub pod nr telefonu 12 663 12 25 – w dniach od poniedziałku do piątku, w godzinach od 8:00 do 15:00.
3. Dane osobowe Uczestnika będą przetwarzane w celu:
a) realizacji umowy, której przedmiotem jest udział w Konferencji English for Healthcare: from expertise to practice, a także w celu rejestracji uczestnictwa w Konferencji, przyjęcia zgłoszeń Uczestników gotowych do wygłoszenia Wykładu i przeprowadzenia Warsztatu tj. na podstawie art. 6 ust. 1it. b RODO, na postawie umowy zawartej poprzez akceptację Regulaminu. Konferencja organizowana w dniach 11-12.09 2026 r będzie odbywać się stacjonarnie.
b) przeprowadzenia Fotorelacji z Konferencji w celach dokumentacyjnych, informacyjnych, edukacyjnych, dydaktycznych, reklamy i promocji Organizatora, oraz samej Konferencji, archiwizacji – w odniesieniu danych osobowych Uczestników w postaci wizerunku – na podstawie na podstawie art. 6 ust. 1 lit. f RODO.
c) zapewnienia bezpieczeństwa Konferencji zgodnie z obowiązującym w UJ Regulaminem monitoringu wizyjnego dostępnego na stronie https://bip.uj.edu.pl/ oraz obowiązkiem informacyjnym dotyczącym przetwarzania wizerunku w monitoringu wizyjnym dostępnym na stronie https://iod.uj.edu.pl/monitoring-wizyjny na podstawie art. 6 ust. 1 lit. e RODO – w odniesieniu do danych z monitoringu wizyjnego.
4. Podanie przez Uczestnika danych osobowych wskazanych w punkcie 3 lit. a) jest konieczne do zawarcia umowy, uczestnictwa w Konferencji, opracowania Abstraktu oraz Opisu i wygłoszenia Wykładu lub przeprowadzenia Warsztatu. Podanie danych osobowych wskazanych w punkcie 3 lit. b) w zakresie wizerunku jest dobrowolne. W odniesieniu do danych, o których mowa w punkcie 3 lit. c) powyżej, podanie danych jest dobrowolne, ale brak ich podania z uwagi na obowiązek zapewnienia bezpieczeństwa Uczestników - skutkuje niemożnością uczestnictwa w Konferencji.
5. Dane osobowe Uczestnika mogą być udostępnione podmiotom uprawnionym do ich odbioru na podstawie powszechnie obowiązujących przepisów prawa.
6. Odbiorcami danych osobowych Uczestnika są podmioty zapewniające wsparcie informatyczne i organizacyjne w organizacji Konferencji – w tym podmiot dostarczający oprogramowanie służące rejestracji na Konferencji.
7. Dane osobowe Uczestnika nie będą przekazywane do państw trzecich (poza Europejski Obszar Gospodarczy) ani do organizacji międzynarodowych.
8. Dane osobowe Uczestnika przechowywane będą przez okres organizacji Konferencji oraz do czasu dokonania ostatecznego rozliczenia i zamknięcia Konferencji, a także do czasu przedawnienia roszczeń mogących wyniknąć z realizacji umowy, o której mowa w ust. 3 lit. a). W zakresie wskazanym w ust. 3 lit. b) powyżej – dane będą przetwarzane do czasu wniesienia sprzeciwu na ich przetwarzanie danych. Dane z monitoringu wizyjnego mogą być przetwarzane do 3 miesięcy.
9. Dane osobowe podane w Formularzu rejestracyjnym nie będą udostępniane osobom trzecim.
10. Dana osobowa Uczestnika w postaci wizerunku może zostać utrwalona na zdjęciach z Konferencji służących stworzeniu Fotorelacji z Konferencji i przetwarzana na Stronie Konferencji, na Stronach Organizatora oraz w serwisach społecznościowych Organizatora (Facebook oraz Instagram), w sposób umożliwiający dostęp osób trzecich, na cele informacyjne, dokumentacyjne, edukacyjne, dydaktyczne, reklamy i promocji Organizatora, oraz samej Konferencji, a także archiwizacji, w tym na potrzeby relacji z Konferencji – zgodnie z § 7 Regulaminu.
11. Jeśli Uczestnik wyraził chęć wygłoszenia Wykładu/Warsztatu to Jego dane osobowe dobrowolnie wskazane w treści Wykładu/Warsztatu będą przetwarzane na Stronie Konferencji na cele informacyjne i dokumentacyjne.
12. Uczestnik posiada prawo do: uzyskania informacji o przetwarzaniu danych osobowych i uprawnieniach przysługujących zgodnie z RODO, dostępu do treści swoich danych oraz ich sprostowania, a także prawo do usunięcia danych osobowych ze zbiorów administratora (chyba że dalsze przetwarzanie jest konieczne dla wykonania obowiązku prawnego albo w celu ustalenia, dochodzenia lub obrony roszczeń), oraz prawo do ograniczenia przetwarzania, przenoszenia danych, wniesienia sprzeciwu wobec przetwarzania – w przypadkach i na warunkach określonych w RODO.
13. Dane osobowe Uczestnika nie będą przedmiotem automatycznego podejmowania decyzji ani profilowania.
14. Uczestnik posiada prawo wniesienia skargi do Prezesa Urzędu Ochrony Danych Osobowych w razie uznania, że przetwarzanie Jego danych osobowych narusza przepisy RODO.
§ 9 Postanowienia końcowe
1. Niniejszy Regulamin jest udostępniony Uczestnikom Konferencji na Stronie Konferencji i wchodzi w życie z dniem jego zamieszczenia na ww. stronie.
2. O odwołaniu Konferencji Organizator niezwłocznie poinformuje na Stronie Konferencji. Organizator nie będzie wobec Uczestników, w tym Prelegentów oraz Prowadzących zobowiązany do żadnej rekompensaty lub odszkodowania z tego tytułu, ani do zwrotu kosztów poniesionych celem uczestnictwa w Konferencji, z wyjątkiem zwrotu Opłaty.
3. Prawem właściwym dla umowy uczestnictwa w Konferencji zawartej poprzez akceptację Regulaminu jest prawo polskie. W sprawach nieuregulowanych Regulaminem zastosowanie mają powszechnie obowiązujące przepisy prawa polskiego.
4. Wszelkie spory podlegać będą jurysdykcji polskich sądów powszechnych właściwości ogólnej.
5. Regulamin został sporządzony w dwóch wersjach językowych – polskojęzycznej i anglojęzycznej, w razie rozbieżności interpretacyjnych obowiązująca jest wersja polskojęzyczna.
REGULATIONS OF THE CONFERENCE: English for Healthcare: from expertise to practice Conference
organised on 11-12 September 2026 ("Regulations")
§ 1 Date and term
1. These Regulations define the rights and obligations of the Participants of the Conference English for Healthcare: from expertise to practice (hereinafter referred to as the "Conference"), which will be held on September 11-12, 2026, on-site in Kraków at 24 Gołębia Street on the premises of the Collegium Novum.
2. The organiser of the Conference is the Jagiellonian University, 24 Gołębia Street, 31-007 Kraków, the Jagiellonian University Medical College Language Centre , 4 Radziwiłłowska Street, 31-026 Krakow (hereinafter referred to as the "Organiser").
3. The Scientific Committee of the Conference appointed by the Organiser (hereinafter referred to as the "Scientific Committee") provides scientific supervision on the Conference.
4. A Conference participant is any natural, adult person of full legal capacity who, by August 31, 2026 at the latest, in the manner referred to in § 2 section 1 of the Regulations:
a. applied for participation in the Conference,
b. or accepted the Organiser’s invitation to participate in the Conference as a guest (in particular Keynote speakers, representatives of the Organiser, representatives of sponsors and partners of the Conference);
and accepted the rules of participation in the Conference referred to in the Regulations and received information from the Organiser on his/her qualification to participate in the Conference (hereinafter referred to as the "Participant").
5. The Regulations are made available to Participants on the following websites: https://cj.cm.uj.edu.pl/pl/konferencje/ (hereinafter referred to as the "Conference Website"), in Polish and English language versions, in a manner that allows its downloading.
6. The Organiser reserves the right to change the Regulations due to changes in generally applicable laws and the need to adapt the Regulations to such changes. The change to the Regulations will come into force within 7 days from its publication on the Conference Website. In relation to Participants who accepted the Regulations before the change, the change will come into force within 7 days of informing them of the change to the Regulations by e-mail and a lack of their objection to the change within the aforementioned period.
7. The Organiser reserves the right to amend the Regulations also in the case of an amendment of the Regulations which does not adversely affect the rights of the Participants or an amendment consisting of the correction of obvious clerical errors and editorial mistakes. In such a case, the amendment to the Regulations may become effective within a period shorter than 7 days, but no shorter than 3 days from informing the Participants of the amendment to the Regulations by e-mail and a lack of their objection to such amendment within the aforementioned period.
8. The Organiser reserves the right to change the date and the form of the Conference in a situation when the organisation of the Conference on the date and form referred to in section 1 above is impossible or excessively difficult for reasons beyond the Organiser's control. A change of the date and/or form of the Conference will be immediately announced on the Conference website.
9. The Organiser reserves the right to make changes to the programme of the Conference, including the right to change the time schedule and sequence of presentations. In case of any changes, the Organiser will immediately provide due notification on the Conference Website. A change to the Conference programme does not constitute a change to the Regulations.
§ 2 Registration of Participation in the Conference
1. Participation in the Conference is chargeable and requires prior registration through a registration form (hereinafter referred to as the "Registration Form") available on the Conference Website - https://cj.cm.uj.edu.pl/pl/konferencje/, in which a person wishing to participate in the Conference will be required to indicate the following data: first and last name, e-mail address and affiliation (if applicable).
2. The detailed method of registration for participation in the Conference, registration deadlines and the amount of the Registration Fee (hereinafter referred to as the "Fee") as well as the method of its payment are specified on the Conference Website.
3. In case of resignation from participation in the Conference, the Participant is obliged to immediately inform the Organiser about it by sending due information to the e-mail address: englishforhealthcare2026@cm-uj.krakow.pl. The Participant who resigns from participation in the Conference by July 31, 2026, in the manner specified herein shall receive the refund of the Fee from the Organiser (bank charges are not refundable). Cancellation of participation in the Conference made after July 31, 2026 will result in no refund of the Fee paid by the Participant. Refunds of Fees will be made by the Organiser after the Conference.
4. In the Registration Form the Participant may declare their wish to participate in the Conference accompanying events, i.e. in the gala dinner (hereinafter referred to as the "Gala Dinner” for an additional joint Fee. Details of the Fee, time and venue of the Gala Dinner will be provided on the Conference Website.
5. The Organiser shall not be responsible for any incorrect or false data provided by the Participant during the Conference registration.
6. A maximum of 120 Participants may attend the Conference, a maximum of 50 Participants may attend the Gala Dinner (hereinafter referred to as the "Gala Dinner Participants"). The acceptance of the application for participation in the Conference and/or the Gala Dinner is determined by the order of application.
7. The person who has registered for the Conference confirms that he/she has read the Regulations and accepts the provisions of the Regulations, which is tantamount to granting by him/her the permissions, licences and authorisations referred to in the Regulations, and also constitutes an obligation to pay the Fee. Registration of participation in the Conference is completed at the moment of completing the Participant's data in the Registration Form and submitting it together with the consents referred to in § 5-7 of the Regulations using the registration system available at https://cj.cm.uj.edu.pl/pl/konferencje/ .
8. Upon payment of the Fee, at the moment of receipt of a confirmation of registration, a person who has registered for participation in the Conference acquires its right to participate in the Conference and/or in the Gala Dinner.
§ 3 General principles of participation in the Conference
1. During the course of the Conference there will be lecture sessions during which lectures will be delivered (hereinafter referred to as "Lectures") and workshop panels during which Participants will have the opportunity to exchange views, discuss and test methodological solutions (hereinafter referred to as "Workshops"). The Conference will be held in English. Detailed information and the exact programme of the Conference are available on the Conference Website.
2. The Participant may ask questions after the Lecture. The Organiser, taking into account the planned duration of the Lectures as well as the Conference schedule, will decide on the number of questions to be asked and their content.
3. The course of the Conference will be recorded in the form of a photo report (hereinafter: "Photo Report"), which will be available on the Conference website https://cj.cm.uj.edu.pl/pl/konferencje/ , and may also be made available indefinitely on the Organiser's websites and social networking sites (Facebook and Instagram) for an unlimited number of recipients.
4. By making the Conference Materials (hereinafter referred to as the "Conference Materials") available to Participants, the Conference Organiser pays particular attention to the Participants’ respectful use of intellectual property rights. Participants undertake to use the Conference Materials made available to them by the Organiser only for their own personal use. Modification, copying, transmission, public reproduction and any commercial use of these Conference Materials requires prior written consent of the Organiser or any other authorised entity. Participants shall be held fully responsible for any damage caused by their behaviour contrary to the above restriction.
5. Participants accept the established rules of the Conference conduct and its programme as well as undertake not to alter or disrupt the Conference. The Organiser is entitled to exclude from participation in the Conference such Participants who violate the provisions of the Regulations, and in particular:
a) disrupt the course of the Conference;
b) take actions which are unlawful, immoral or in conflict with legitimate interests of third parties;
c) take actions aimed at circumventing or indicating an attempt to circumvent the Regulations or the principles of the Conference;
d) take actions which infringe the Organiser's legitimate interests or harm its image.
§ 4 Rights and Obligations of Participants, Gala Dinner
1. Upon arrival at the Conference venue, Participants are obliged to confirm their participation in the Conference at the reception desk in Collegium Novum in Kraków, 24 Gołębia Street, 31-007 Kraków.
2. Participants, Gala Dinner Participants and Tour Participants are obliged to observe safety, OHS and fire safety rules in force on the premises where the Conference and/or Gala Dinner/Tour is organised, as well as the sanitary regime in force at that time.
3. The Organiser is not responsible for items left or lost during the course of the Conference and/or Gala Dinner/Tour and for items left in clothing or backpacks/bags/suitcases, as well as in other public areas on the premises of the Conference, the Jagiellonian University or the venue where the Gala Dinner will be held.
4. In the event that the Participant disturbs public order and fails to observe the sanitary regime in force on the day of the Conference, the Organiser's staff shall be entitled to:
a) call upon the Participant to behave appropriately;
b) require the Participant to leave the Conference/Gala Dinner/Tour area,
c) call the appropriate services in a situation where the Participant's behaviour qualifies for such intervention, including in particular when it poses a threat to other Participants or the Organiser's staff or property.
5. The Organiser shall not be liable for events resulting from the Participants' failure to observe the Regulations, the Participants' failure to comply with the Organiser's recommendations and instructions of the Organiser's staff and services responsible for safety and order.
6. In order to ensure security on the Conference premises, the Organiser may use CCTV covering the entire Conference area, as well as its individual parts. The rules for the use of CCTV by the Organiser are set out in Order No. 34 of the Rector of the Jagiellonian University of 16 May 2019 on: Regulations for Video Monitoring at the Jagiellonian University, as amended, available in the Jagiellonian University Bulletin of Public Information.
7. If case of occurrence of any incidents posing a threat to life and health of the Participants, the Participant is obliged to inform the Conference staff about such incident immediately.
§ 5 Lectures, Workshops
1. A person registering for the Conference via the Registration Form may notify the Organiser of his/her wish to deliver a Lecture or conduct a Workshop. Applications are accepted until February 28, 2026, until 23:59.
2. A person who has applied to deliver a Lecture shall, by February 28, 2024, until 23:59 at the latest, post abstract in the Coffee registration system, in a form of a digital text file - an author's abstract of the Lecture he/she intends to deliver during the Conference (hereinafter referred to as the "Abstract"). By April 30, 2026 at the latest, the Scientific Committee, on the basis of the submitted Abstracts, will select the speakers (hereinafter referred to as "Speakers"), and will immediately inform the Participants whose Abstracts have been qualified about the positive result of this qualification by sending them a return e-mail no later than April 30, 2026. Further contact to determine the details of the Speaker's Lecture will be made in a manner agreed between the Speaker and the Organiser.
3. The person who has applied to conduct a Workshop shall, no later than February 28, 2026, until 23:59, post abstract in the Coffee registration system, a short description of the subject of the Workshop he/she intends to conduct during the Conference (hereinafter referred to as the "Description"). By April 30, 2026 at the latest, the Scientific Committee, on the basis of the submitted Descriptions, will select the Workshop presenters (hereinafter referred to as "Presenters"), and will immediately inform the Participants whose Descriptions have been qualified of the positive result of this qualification by sending them a return e-mail no later than April 30, 2026. Further contact aimed at determining the details of the Workshop will take place in a manner agreed between the Workshop Presenter and the Organiser.
4. While making the decisions referred to in sections 2 and 3 above, the Scientific Committee shall be guided by its own discretion and by the need to ensure a high scientific level and topic diversity of the Conference. The decision of the Scientific Committee is final and does not require justification, Participants are not entitled to appeal against it.
5. A person who has accepted the Organiser's invitation to participate in the Conference as a Keynote Speaker (hereinafter also referred to as the "Speaker") may, by February 28, 2026 until 23:59 at the latest, post abstract in the Coffee registration system, in the form of a digital text file - an author's abstract of the Lecture he/she intends to deliver during the Conference (hereinafter also referred to as the "Abstract"). Further contact to determine the details of the Speaker's Lecture shall be made as agreed between the Speaker and the Organiser.
6. Undertaking by the Participant the actions referred to in sections 1 - 5 above is an expression of granting the Organiser a non-exclusive, unlimited in time, territory, quantity and quality licence to use the Abstract / Description, with a scope and in the fields of exploitation analogous to those referred to in § 6 sections 5-7 of the Regulations, with the right to grant sub-licences to third parties in a scope analogous to the scope of the licence and with the right to exercise and authorise the exercise of derivative rights to the Abstract, for the purposes of deciding on the qualification of the Participant as a Speaker/Presenter, preparation, organisation, conduct and settlement of the Conference, development of Conference Materials, including the book of abstracts to be published in print. The provisions of § 6 sections 1-3 and 8 of the Regulations shall apply accordingly to the Abstract/Description.
7. Giving the Lecture/Workshop, as well as granting the Organiser the permissions, authorisations and licences referred to in § 5-7 of the Regulations to use the Abstract/Description, the Lecture and the image of the Speaker/Presenter, in the scope and in all fields of exploitation indicated therein, is free of charge and takes place for the Organiser’s statutory purposes, subject to separate agreements concluded with the Speaker.
8. Granting the Organiser the permissions, licences, authorisations referred to in § 5 - 7 of the Regulations is voluntary, but necessary for giving the Lecture/Workshop.
§ 6 Copyright
1. The Speaker is fully responsible for the form and content of the Lecture. Whenever these Regulations refer to a Lecture, it shall be understood as the content of the Speaker's oral presentation delivered at the venue and in the course of the Conference, and optionally accompanied by a slide show or multimedia presentation.
2. The Speaker undertakes to develop and present an author Lecture and guarantees that the Lecture shall not infringe the rights and personal rights of third parties, shall not contain theses and views inciting hatred or discrimination of any persons on grounds of race, culture, ethnicity, religion, worldview or gender. Moreover, it is unacceptable to promote in the content of the Lecture the ideology and symbolics associated with totalitarian systems, as well as to present any other subject matter prohibited by generally applicable laws or violating the Organiser's good name.
3. If any part of the Lecture consists of legally protected elements, the rights to which shall not be vested in the Speaker, the Speaker warrants that he/she is entitled to use them to the extent necessary to deliver the Lecture and to grant the Organiser a Licence with the right to grant sublicences referred to in this paragraph, without the need for the Organiser to obtain additional consents and permissions.
4. The Speaker consents to the recording of the Lecture by the Organiser or an entity acting on its behalf, in the form of a Photo Report.
5. The Speaker grants the Organiser a non-exclusive, time- and territory-unlimited, quantitative and qualitative license, with the right to grant sublicenses in the scope analogous to the license, to use the Lecture - including the one recorded in the form of the Photo Report, in whole or in part, individually or as a part of a collective work, in combination with works and elements selected at the Organiser’s sole discretion (among others, with lectures of other Speakers, images, including as part of the so-called Conference Materials), as well as from its elaborations, adaptations and any materials, graphics, fragments, shots - for informational, documentation, educational, didactic, archival, advertising and promotion purposes of the Organiser and the Conference itself, including, in particular, its use, sharing on the Internet, Intranet, as well as within any telecommunication services using any systems and devices, in particular on the Conference Website, on the Organiser's Websites and on the Organiser's social media (Facebook and Instagram).
6. The license referred to in section 5 above (hereinafter referred to as the "License") shall be granted to the Organiser upon the Speaker's commencement of the Lecture at the time and place of the Conference and shall cover the use of the Lecture in the following fields of exploitation:
a) recording and reproduction of the Lecture - production of Lecture copies using all available techniques, including printing, reprography, magnetic recording and digital techniques
(including DVD, magneto-optical media);
b) permanent or temporary reproduction of the Lecture in whole or in part by any means and in any form;
c) with regard to distribution of the Lecture - public performance, exhibition, display, reproduction, as well as broadcasting and re-broadcasting, as well as making the Lecture available to the public in such a way that anyone can access it at any place and time, using any available techniques, including use on the Internet, Intranet and other computer networks, posting and modification of the Lecture on websites, social networks, broadcasting the Lecture using multimedia and data communications networks, modification of the Lecture to create website navigation, making the Lecture available to the public at publicly accessible exhibitions or displays;
d) within the scope of circulation of the original or copies on which the Lecture was recorded - marketing, lending or renting the original or the copies;
e) creation and dissemination of derivative works of the Lecture, including further projects/materials based on the Lecture or its single elements, including development of alternative graphic, colour versions or visual or spatial forms of the Lecture and use of the derivative works created in this way to the extent and on all fields of exploitation specified in this paragraph;
f) re-broadcasting, distribution in the press, on the Internet, on large-format posters and in any other form of promotion or advertising;
g) to modify the Lecture in whole or in part, and to make arrangements for it in whole or in part, including, but not limited to, the right to correct, make alterations and changes to the Lecture as a whole or to its single elements;
h) the right to freely use and exploit the Lecture and its single elements, including the use of the Lecture and its single elements for advertising, promotion, office purposes, purposes of marking goods, products, services, including their use as registered or unregistered trademarks, logos or their elements, use as the name/company name, entrepreneur or business activity name, use of the Lecture and its single elements for advertising and promotion of the Organiser or the University activities in the country and abroad.
7. The License also includes the right to exercise by the Organiser and persons acting on its behalf the dependent rights to the Lecture, in all fields of exploitation referred to in sections 5-6 above, including in particular the right to make changes to the Lecture and create its elaborations, use and management of derivative works, and the right to allow third parties to exercise dependent copyrights to the Lecture with a scope analogous to that used by the Organiser.
8. The Speaker authorises the Organiser and third parties to whom the Organiser grants further authorisations, to exercise on behalf of the Speaker the moral copyrights to the Lecture and undertakes not to exercise against the Organiser and entities authorised by the Organiser the moral copyrights to the Lecture, in particular the right to inviolability of the content and form of the Lecture and its fair use, the right to decide on the first disclosure of the Lecture to the public, the right to supervise the use of the Lecture, and to decide how to designate the author of the Lecture, with the provision that the Organiser shall, at the Speaker’s request and to the extent possible, respect the Speaker's wish to be designated as the person presenting the Lecture.
9. In the event of any third party claims against the Organiser and/or entities acting on behalf of the Organiser and/or entities authorised by the Organiser to use the Lecture and/or the Abstract/Description (hereinafter collectively referred to as "Authorised Entities"), with regard to the Lecture and/or the Abstract/Description or their single elements, the Speaker:
a) shall indemnify the Organiser and/or the Authorised Entities from the claims in question to the extent that he/she was obligated to acquire from third parties the rights to the legally protected elements of the Lecture and/or the Abstract/Description, including derivative copyrights and related rights, the right to exercise and authorise the exercise of the copyrights in them and their respective elements, and to obtain from them permissions and authorisations referred to in this paragraph; and
b) shall be fully liable for any damages incurred by the Organiser and/or the entities entitled due to claims made against them, including primarily, but not exclusively, damages related to a claim for unlawful use of the Lecture and/or the Abstract/Description or unlawful use of their single elements.
§ 7 Image
1. The Organiser shall record the course of the Conference by means of devices recording the image in the form of a Photo Report - for educational, didactic, informational, documentation, archival, advertising and promotional purposes of the Organiser and the Conference itself.
2. By declaring in the Registration Form their willingness to participate in the Conference, the Participant provides her/his unlimited in time, territory, quantity and quality consent to use their image for the purposes indicated in section 1 above, without the right to remuneration for the aforementioned, in particular by means of recording the Participant's image in a Photo Report and the use of this recording, processing, duplication and repeated dissemination of the Participant's image recorded in the aforementioned manner without the need for her/his approval each time, to the extent and in a manner analogous to the one referred to in § 6 sections 5-7 of the Regulations, including in particular on the Conference Website, on the Organiser's Websites and in the Organiser's social media (Facebook and Instagram).
3. The Participant is aware that the Conference Photo Report will be made available on the Internet and will be available on the Conference Website https://cj.cm.uj.edu.pl/pl/konferencje/ . It may also be made available on the websites referred to in section 2 above to an unlimited number of people, indefinitely.
4. In connection with the use of the image, the Participant shall not exercise the right of control and every single approval of the use of their image, including the right of approval in relation to the final form of the Photo Report in which their image was used and the right each time to indicate her/him as a person depicted in the Photo Report, in particular, the right to indicate his name and surname.
5. The Conference may be photographed in the form of the Photo Report only by the Organiser. Recording and taking photos by Participants during the Conference are prohibited without the Organiser’s prior consent.
6. The Organiser has the right to authorise other entities to use the image under the terms of this permission.
§ 8 Processing of personal data
Pursuant to Article 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter "GDPR"), the Jagiellonian University informs that:
1. The controller of the Participant's personal data is the Jagiellonian University, 24 Gołębia Street, 31-007 Kraków, represented by the Rector of the Jagiellonian University.
2. The Jagiellonian University has appointed a Data Protection Officer, 4/25 Czapskich Street, 31-110 Krakow. Contact with the Officer is possible via e-mail: iod@uj.edu.pl or at a telephone number 12 663 12 25 - from Monday to Friday, from 8:00 am to 3:00 pm.
3. The Participant's personal data will be processed for:
a) the execution of the agreement, the subject of which is participation in the Conference English for Healthcare: from expertise to practice as well as for the purpose of registering participation in the Conference, accepting applications of Participants ready to deliver a Lecture and conduct a Workshop, i.e. on the basis of Article 6.1it. b of GDPR, on the basis of the agreement concluded by accepting the Regulations. The Conference organised on September 11-12, 2026 will be held on-site.
b) to carry out the Photo Report of the Conference for documentation, informational, educational, didactic, advertising and promotional purposes of the Organiser and the Conference itself, archiving - with regard to personal data of the Participants in the form of image - on the basis of Article 6 section 1 f) of the GDPR
c) to ensure security of the Conference in accordance with the Regulations of the Jagiellonian University on video monitoring available at https://bip.uj.edu.pl/ and the information obligation regarding the processing of image in video monitoring available at https://iod.uj.edu.pl/monitoring-wizyjny on the basis of Article 6 section 1 e) of the GDPR - with regard to data from video monitoring.
4. Provision of personal data indicated in section 3 a) by the Participant is necessary for the conclusion of the agreement, participation in the Conference, development of the Abstract and Description and delivery of the Lecture or the Workshop. Provision of personal data indicated in section 3 b) regarding image is voluntary. With regard to the data indicated in section 3 c) above, providing the data is voluntary, but due to obligation to ensure the safety of Participants, failure to provide such data results in the inability to participate in the Conference.
5. Participant's personal data may be made available to entities authorised to receive it under generally applicable laws.
6. Recipients of the Participant’s personal data are entities providing IT and organisational support in the organisation of the Conference - including the entity providing software for registration at the Conference.
7. Participant's personal data will not be transferred to third countries (outside the European Economic Area) or to international organisations.
8. The Participant's personal data will be stored for the period of organisation of the Conference and until the final settlement and closing of the Conference, as well as until the statute of limitations for claims that may arise from the execution of the agreement referred to in section 3 a). To the extent indicated in section 3 b) above - data will be processed until objection to their processing is reported. Video monitoring data may be processed for up to 3 months.
9. Personal data provided in the Registration Form will not be shared with third parties.
10. Participant’s personal data in the form of an image may be recorded on photos from the Conference used to create a Photo Report from the Conference and processed on the Conference Website, on the Organiser's Websites and in the Organiser's social media (Facebook and Instagram), in a manner which allows access by third parties for the informational, documentation, educational, didactic, advertising and promotional purposes of the Organiser and the Conference itself as well as for archiving purposes, including reporting of the Conference - in accordance with § 7 of the Regulations.
11. If the Participant has expressed a desire to deliver a Lecture/Workshop, his/her personal data voluntarily indicated in the content of the Lecture/Workshop will be processed on the Conference Website for information and documentation purposes.
12. The Participant has the right to: obtain information about the processing of his/her personal data and his/her rights under the GDPR, access to and rectification of the content of his/her data, and the right to delete his/her personal data from the controller's files (unless further processing is necessary for the performance of a legal obligation or for the purpose of establishing, pursuing or defending claims), and the right to limit processing, data transfer, reporting objections to processing - in cases and under the conditions specified in the GDPR.
13. The Participant's personal data will not be subject to automated decision-making or profiling.
14. The Participant has the right to lodge a complaint with the President of the Personal Data Protection Office if they consider that the processing of her/his personal data violates the provisions of the GDPR.
§ 9 Final provisions
1. These Regulations are made available to Conference Participants on the Conference Website and enter into force on the date of its posting on the above website.
2. The Organiser shall immediately inform about the cancellation of the Conference on the Conference Website. The Organiser shall not be liable to Participants, including Speakers and Presenters, for any compensation or damages on this account, nor for reimbursement of costs incurred for participation in the Conference, except for reimbursement of the Fee.
3. The agreement of participation in the Conference concluded by acceptance of the Regulations shall be governed by the Polish law. In matters not covered by the Regulations, generally applicable provisions of the Polish law shall apply.
4. Any disputes shall be subject to the jurisdiction of the Polish courts of general jurisdiction.
5. The Regulations have been drawn up in two language versions - Polish and English, in case of any discrepancies in interpretation, the Polish version shall prevail.
